We’re a children’s party business, so we look after personal details carefully — especially children’s. This page explains what we collect when you enquire or book, why we need it, and what you can ask us to do with it.
Who we are
4TheKidz is a sole trader business run by Jessica Roberts and based in South Wales. We are responsible for the personal details you give us (in data-protection terms, the “data controller”). The best way to reach us is 4thekidz.contact@gmail.com.
The details you give us
When you send an enquiry or book a party we ask for:
- your name, email address and phone number;
- the address and postcode where the party will be;
- the date, start time, party package and any extras you’d like;
- how many children are coming, plus the birthday child’s name and age;
- anything you add in the notes — for example access needs, allergies or a theme request.
You choose what to put in the notes, so please only tell us what we genuinely need to run the party.
What we collect automatically
To make the website work we also keep a booking number and status for your enquiry, a record of what you’ve paid and what’s still owed, and the small amount of technical information needed to keep you signed in where relevant and to make sure a payment isn’t counted twice.
Why we use your details
We only ever use your details to do one of these things:
- Reply to your enquiry and check availability — so we can tell you whether your date is free.
- Price your party — we use your postcode to work out the travel charge.
- Confirm and deliver your party — including telling you about any change to it.
- Take payment — the deposit and the balance.
- Keep accounting records — which tax rules oblige us to do.
We don’t add you to a marketing list, we don’t send newsletters, and we don’t use your details to decide anything about you automatically.
Children’s information
We only ask for a child’s first name and age, so the party can be planned and feel personal. An adult always makes the booking. We never use children’s details for marketing or advertising, we never sell them, and we don’t pass them on to anyone who would.
Payments
Card payments are handled by our payment provider, Stripe. Your card number, expiry date and security code go straight to Stripe — we never see them and we never store them. All we keep is a record of how much you’ve paid, when you paid it, and what’s left to pay.
Who else sees your details
Only the people and services we need to run your booking:
- Stripe, to take your payment;
- our email provider, to send you your booking emails;
- our website host, which stores bookings securely.
We never sell or rent your details. This site doesn’t run advertising or analytics trackers, so we aren’t watching how you browse and we aren’t sharing that with anyone.
Where your details are stored
Your details are stored in the UK or the European Economic Area. If one of our providers ever stores them outside that area, they are required to put legal safeguards in place to protect them to a similar standard.
How long we keep your details
If you book with us, we keep your booking and payment records for up to six years, because tax rules ask us to. If you enquire and don’t go ahead, we keep your enquiry for about twelve months in case you come back to us, then delete it. You can ask us to delete your details sooner — we’d just need to keep proof of any payment for our accounts.
Keeping your details safe
Only the owner of 4TheKidz can see a booking. Your own booking page needs both your booking number and your email address before it will show anything. We will never ask for your password by email or phone.
Your rights
You can ask us at any time to:
- send you a copy of the details we hold about you;
- correct anything that’s wrong;
- delete your details;
- stop us using them in a particular way, or object to us using them;
- send your details to someone else in a usable format;
- withdraw any consent you’ve given.
Just email 4thekidz.contact@gmail.com and we’ll deal with it. If you’re unhappy with how we’ve handled your details, you can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 928 6219.
Cookies
This site uses a very small number of cookies and similar storage, all of which are needed to make it work. Our cookies notice lists each one and what it does.
If this policy changes
We may update this page as the business grows. The date at the top always shows when it was last changed, and we’ll email anyone with a live booking if something important changes.
